What Data do we Collect?

If you use our website or Apps without registering or submitting any form, we only collect information through the use of cookies, web beacons and navigational data collection. This is particularly done to provide you with a better experience by accordingly taking specific technical measures, and to recognize and stop any misuse. If you decide to register with us, you will provide us with personal information including sensitive information. It is your choice whether to provide us with your Personal information, but if you choose not to release such information we may be able neither to provide you with our services nor to register you to use our Applications.

Internet Users, potential clients and carers

Vida may collect the following Personal information: name, postal code, email and phone numbers, optional photographs of yourself; bank details; geolocation data; as well as sensitive information about you including your health, physical and mental conditions, dietary restriction, medical records and conditions, diseases or disabilities, your race, gender, age any other information we think we should know or which is reasonably requested by us for the performance of a contract.  

Job Applicants

Vida collects personal information about you when you or third-parties acting on your behalf apply or search for a position with Vida, including via Vida’s online recruitment software. We use online recruitment platforms that may be hosted outside the EU. When you apply via third party service providers that are located outside the EEA, your personal information including name, email, contact number, previous relevant experience, criminal record, address, referees, education and answers to questions relevant to the role you have applied for will be stored on those platforms.  

If you use our current online application systems, you will provide the requested information to either Workable or Fountain platform which provide this online service for us. Once you click ‘apply now’ you will be taken to either Workable or Fountain’s website and they will hold the information you submit but only the recruitment team including the hiring managers of Digital Home Visits Ltd will have access to it.

All of the information you provide during the process will only be used for the purpose of progressing your application, or to fulfil legal or regulatory requirements if necessary. We will use the contact details you provide to us to contact you to progress your application. Shortlisting

Our hiring managers and recruitment team shortlist applications for interviews. They will be provided with all the details you have filled out on the application form and may contact you for scheduling an interview according to your availability.

Assessments

We might ask you to participate in assessment days, complete tests, questionnaires and/or to attend interview – or a combination of these. Information will be provided by you and by us. For example, you might complete a written test or we might take interview notes.

We use ‘Typeform’ to record information during the interviews. The information that we record will be held in their system and you can see their privacy policy here:

We use a third party software, ‘Onfido’, to verify your identity. Your personal information will be stored on their platform. Only Digital Home Visits and you will have access to view the stored information. You can see their privacy policy here:

We record the end result of your interview to record the analytics of our recruitment process. but that information is not made available to any staff outside our recruitment team, including hiring managers, in a way which can identify you.

How do we collect your information?

Personal information you give us when/ by:

  • Submitting a ‘free care assessment’ (clients’ form) that may include your name, phone number, email, postcode and what you are looking for. When you request a free care assessment your information is stored on ‘Hubspot’, a marketing service that Digital Home Visits Ltd uses for Marketing and Sales. you can see their privacy policy here.

Your information will only be made available to the customer services team to contact you regarding your query and to the marketing team for recording analytics, which is important for us a business to see how our ads are performing;

  • Requesting services and contacting Vida through our website/app/telephone;
  • Providing us with your personal and health information including any data recorded during the ‘care assessment’.
  • Applying to work as a carer.

Automatic Data Collection

Website

We collect information about your use of Vida website (e.g. IP address, type of computer or mobile device, language you use for your operating system, your Internet browser, geolocation) by way of cookies, pixel tags, web beacons and navigational data (server logs, log files). We collect information about how you use our services, information about your expressed preferences and settings chosen. App

When you download and install our App(s) onto your mobile device, such App(s) may automatically collect certain information such as the computer or mobile device you are using, your IP address and/or unique device, your device and language of operating system, the Internet browser. We may also obtain such information from third parties (service providers) to address the following: anonymised crash tracking, pseudonymised installation tracking, anonymised behaviour tracking and testing (including in real time) and anonymised A/B testing. We collect such information in order to improve technical functioning of the App(s), make Vida App(s) and services more useful and better meet the changing needs of clients and users.

Location data

We track carers’ check-in/check-out when they use our App. This is for the purposes of recording your attendance. You hereby consent to such use of your location data and acknowledge that if you disable this function on your device we are not able to verify your attendance.

Information from other sources

Vida may combine information that you have given us with other information that we already hold about you and which we have collected for a compatible purpose. These may include:   

  • Vida business partners such as payment providers; recruitment agencies; online tools to source and manage candidates; social media services; apps and websites that use Vida’s APIs or whose API Vida uses;
  • Publicly available sources;
  • Reciprocal ratings: after every care services, clients and carers may rate each other, as well as provide feedback on how the care service and carer’s performance were respectively. This two-way ratings system allows Vida to verify every match and in case provide a better match in the future. Further, this means holds everyone responsible for their behaviour as well as allows to help build a respectful for their behaviour as well as allows to help build a respectful and safe environment for both clients and carers.

Marketing

We may collect your personal information to contact you by telephone or via email for marketing purposes with regard to our services, research opinion on business developments where authorised to do so. We will only contact you for this marketing purposes if you have agreed, and at any time you may let us know that you do not want to be contacted anymore by electronic means (email, calls or SMS).

We use MailChimp as our service provider for email marketing. You can find MailChimp’s privacy policy here. You will only receive marketing emails from us if you have opted-in, whereby MailChimp will store the information that you submit to it. You will be able to opt-out from email marketing at any point by following the links at the bottom of any marketing email we send you.

We use Google Analytics, AdWords and Optimize for marketing purposes. As such, information about your website visits may be tracked in order to provide statistics in order to improve our marketing. This information may include:

Some Vida’s services require that we share information with third parties. We have carefully selected these third parties and taken action to ensure that your personal information is appropriately protected. Vida may share your Personal information as follows:

With other users

  • We may share all information we collect within our subsidiaries;
  • If you are a client (needing care) or his/her legal representative, we may share your Personal information, including your sensitive information, with our carers, care assessors and GPs’ District Nurses (Medical Practitioner);
  • If you are a carer we may share your Personal information with our clients, including your name and photo; your skills and expertise; your location; and contact information.

On a public forum

When you communicate with us through our social media channels, including Facebook, Twitter, LinkedIn and Instagram, your communications may be viewable by the public. The respective social media providers will directly gather Personal information only after you click on the corresponding sharing button. We may also share your information to other third parties such as regulators and law enforcement agencies, where it is required by applicable law, where necessary to enforce our Terms of Service, for the purposes of preventing and detecting criminal offences and/or to ensure network and information security.  

Where we store Information

Information you provide to us may be transferred to, and stored at, a country outside the European Union. By way of example, by applying for our job vacancy you will be redirected to our online recruitment platforms as mentioned above.

In any case, all Information we collect from you will be stored on our selected secure servers which are established either in Europe or, whether outside the European Union Area, comply with the U.S.-EU Privacy Shield Framework.

Despite our efforts to guarantee the security of your personal information, the transmission of such data via the internet is not completely secure. We will use rigorous procedures and security features to prevent unauthorised access.

Retention Period

Information you provide us will be retained for the duration necessary for the specific purpose or purposes for which it was collected, which are indicated above. If you register an account through our mobile application(s), your Personal information will be retained for the length of time your account remains active, unless you request to delete your information or account. Vida’s website is hosted on servers in the EU. We are committed to handling personal information with high standards of information security by putting in place appropriate technical measures to protect your personal data and controlling against unauthorised access. Personal information are stored on secure computers and information is encrypted wherever possible. We check our security policies and procedures periodically to verify the functionality of protection and protection of our systems. Furthermore, we authorise access to personal information only for the employees required to perform their job responsibilities.

Vida is responsible for protecting all the information it holds and will be able to justify any decision to share information. User’s Rights

Vida will ensure that you can always control your Personal information that we collect, store and process. The General Data Protection Regulation (GDPR) gives you the following rights with regards to your personal data:

  • Obtain from us confirmation as to whether your personal data are being processed;
  • access to, rectify and erasure of your personal data;
  • to object to and/or restrict processing;
  • data portability;
  • withdraw the consent when the processing is based on that consent;
  • lodge a complaint to the Information Commissioner’s Office if you believe that Vida does not comply with the requirements of the GDPR or the Bill mentioned above as for the processing of your personal data.
